Start a marketing automation comparison by deciding who you want to reach, when to contact them, and what you will send. Then compare the plan required for that workflow, the cost of a growing database, and the integration requirements for your CRM and internal systems.
This guide covers HubSpot Marketing Hub, Adobe Marketo Engage, BowNow, SHANON MA, List Finder, and b→dash. Product information was checked against official sources on September 22, 2026. The use-case suggestions are selection guidance based on those capabilities. This is not a performance ranking based on testing all six products under identical conditions.
What does marketing automation do?
Marketing automation, or MA, supports ongoing communication with prospects through forms, email, website activity, and related signals. It helps organize lead nurturing and sales handovers. It still needs useful content and a team that can respond to qualified prospects.
Role | Main information | Question to answer |
|---|---|---|
Marketing automation | Prospect interactions, messages, and nurturing | When should we send a message or hand a lead to sales? |
CRM and sales management | Customers, contacts, opportunities, and sales activity | What happened after sales followed up? |
Advertising and web analytics | Acquisition cost, visits, and website behavior | Which channels and pages contribute to results? |
A product may cover more than one role. Define which system is the source of truth for customer records and where opportunity outcomes will be stored, even if several functions live in the same platform.
Six marketing automation tools compared
Pricing below refers to official Japan-market pages and Japanese yen, not global offers. Compare quotes with the same setup costs, contract period, tax treatment, contact volume, and optional services. An unconfirmed cost should not be treated as zero.
Product | Potential use case | Published pricing and conditions | Integration checks |
|---|---|---|---|
HubSpot Marketing Hub | Bring CRM and marketing work together | Free tools available. Professional displays ¥96,000 / ¥106,800 per month for different payment options; mandatory onboarding is an additional ¥360,000 | Required plan, marketing contacts, app type, and API limits |
Adobe Marketo Engage | Design complex B2B nurturing and sales workflows | Contact sales. Growth, Select, Prime, and Ultimate have different capability scopes | CRM sync scope, REST API limits, and resources shared with existing integrations |
BowNow | Start lead monitoring and email programs with a small team | Free plan available; consult current pricing materials for paid plans | Plan and feature coverage for Sales Cloud, kintone, Sansan, and other connections |
SHANON MA | Connect website activity with seminars and physical events | Digital ¥60,000/month; Standard ¥120,000/month; Enterprise ¥300,000/month. Confirm setup and other costs | Required connectors, event-management plan, and synchronized fields |

Choose by the workflow you need
HubSpot: organize CRM and marketing together
Consider it when forms, email, and sales handovers should revolve around shared customer records. Trying free tools or Starter does not mean complex automation is available on the same terms. Show the vendor your intended workflows and confirm the necessary plan. Professional includes three core seats and 2,000 marketing contacts; expansion affects the cost.
Marketo Engage: manage complex nurturing as a team
Consider it for nurturing across multiple campaigns and sales processes. Check the package differences and assign responsibility for campaign design, data management, and integration maintenance. A broad feature set will not compensate for missing operators or content.
BowNow: test suitability with a small initial workflow
The free plan has limits including 100 leads and one domain. Start with a small audience, then compare paid plans against the history retention, features, and connections needed in production. Use current pricing materials instead of assuming older brochures still apply.
SHANON MA: connect web and event histories
Consider it when both digital campaigns and seminars or exhibitions matter. Physical-event management is listed as a Standard-plan feature, so compare a quote that includes it instead of using the Digital price alone. Review supported connections through SHANON Connect.
List Finder: help sales prioritize existing leads
Consider it when website behavior should inform outreach to an existing B2B database. Match forms, PDF analysis, and other requirements to the plan table. Its pricing page lists an external-tool integration option at ¥10,000/month; confirm whether your intended connection needs that option.
b→dash: consider data preparation and campaigns together
Consider it when customer, transaction, and behavioral data need to be organized as part of the project. The official product overview covers CDP, MA, BI, and related capabilities. No-code tools still need clear customer IDs, rules for missing values, and update schedules. Use the API overview to discuss your ingestion, update, and messaging requirements.
Change the criteria for B2B and B2C
For long B2B buying cycles with multiple decision-makers, focus on relationships between companies and people, event interactions, and sales handover rules. For B2C use cases driven by purchases and repeat buying, focus on customer identity, data volume, channels, and post-purchase workflows.
A B2B or B2C label is only a starting point. Test whether the product supports your actual campaign at the necessary scale. Following up on a downloaded guide and encouraging a repeat purchase require different data and timing, even when both use email.
Compare first-year cost and the cost of growth
A useful comparison is setup and migration costs + 12 months of subscription fees + usage charges + integration and support options + internal operating time. A low base price may cease to be the cheapest option once essential connections and services are included.
Cost component | Conditions to align in each quote |
|---|---|
Setup | Onboarding, data migration, forms, and templates |
Database volume | Total records versus marketable contacts; inactive and unsubscribed records |
Usage | Pageviews, messages, seats, API capacity, and storage |
Integrations | Connectors, API options, iPaaS, custom development, and maintenance |
Contract | Minimum term, payment schedule, renewal, expansion, and downgrade rules |
Support | Help desk, implementation, content production, and ongoing consulting |
Request one quote for current usage and another for your expected database and messaging volume in a year. Present future volume as your planning assumption, rather than a vendor guarantee.
“Integration supported” is not enough
A CRM logo does not prove that every required field synchronizes in the right direction. Draw the data flows first: customer attributes from CRM to MA, engagement from MA to CRM, and opportunity outcomes back to MA, for example. This is a design example, not a claim that every product supports it out of the box.
Requirement | Question for the vendor or developer |
|---|---|
Data scope | Can we read and write customers, companies, opportunities, unsubscribe status, and activity? |
Direction and timing | Is synchronization one-way or two-way, event-driven or scheduled? |
Identity | How are ID changes, email changes, and duplicates handled? |
Limits | Are daily, burst, concurrency, and batch limits shared with other integrations? |
Failures | How are errors detected, retried, deduplicated, and recovered manually? |
Operation | Which plan, authentication, permissions, owner, and exit-export process are required? |
For example, HubSpot API limits depend on app distribution and subscription, with separate restrictions for some APIs. The Marketo REST API also has daily, burst, and concurrency limits. A single daily-call number cannot establish whether an integration will work.
Test a repeated form submission, an email-address change in the CRM, and a synchronized unsubscribe. Confirm that these do not create duplicate people or accidentally restore a contact to the sending audience during a later sync.
Five steps from evaluation to everyday operation
- Define the purpose and success criteria: choose one starting workflow, such as inquiry follow-up, re-engaging inactive leads, or post-event outreach. Agree how sales response and opportunity conversion will be measured.
- Map the data and owners: identify the CRM, forms, customer IDs, audience rules, and responsible operators.
- Test the same scenario in two or three products: use test data to move from form submission to message eligibility, sales notification, and outcome synchronization.
- Test exceptions: cover duplicates, unsubscribes, missing permissions, and sync failures. Check whether the operator can recover.
- Start small and improve: limit the initial audience, review delivery and engagement alongside sales outcomes, and adjust the rules.
During a trial, have the future operator complete routine tasks rather than only watching a demonstration. Record where vendor assistance was needed to make the ongoing workload easier to estimate.
Connect acquisition measurement with sales outcomes
Use MA to understand nurturing and handovers, and CRM or sales tools to track opportunities and revenue. Advertising cost and website actions are separate measures. Keep form-link clicks, completed inquiries, and opportunities distinct. For website measurement, see our guide to tracking clicks in GA4.
To bring together supported advertising, social, and GA4 data, review NeX-Ray's platforms and reporting features. Its role differs from MA messaging and nurturing. Do not assume a direct connection to the MA tools in this guide; select the acquisition analysis and customer-management tools around the data you actually need.
Frequently asked questions
Can we start with a free plan?
Free plans can help evaluate basic operation or a small campaign. Check contact capacity, retained history, automation, and external connections against production requirements.
Does API access make every CRM easy to connect?
It depends on the available data operations, sync direction, and update frequency. A standard connector may be enough, or the project may need development or another service.
What should we prepare before choosing a tool?
Prepare the first campaign, target customer data, content, sales handover rules, and a responsible operator. Those five inputs make it easier to compare the functions you will actually use.
